COREboards for HubSpot

COREboards is a planning and analytics app for architecture and engineering firms running BQE CORE. This integration reads your open HubSpot deals and turns them into pursuitson the firm’s staffing board, so a firm can answer a question its CRM cannot: if we win this work, do we have the people to do it?

The connection is read-only. COREboards reads deals from HubSpot and never creates, edits, or deletes anything in your HubSpot account.

Before you start

  • A COREboards account, and you must be a firm admin in it (only admins can connect apps).
  • A HubSpot account with permission to install apps.
  • At least one open deal, so there is something to see. Deals with an amount and a close date work best.

Connecting HubSpot

  1. In COREboards, open Settings and find the Connected Apps card.
  2. Click the HubSpot tile, then Connect HubSpot.
  3. HubSpot asks which account to connect. Firms with a sandbox and a production portal should pick the production one.
  4. Review the requested access and approve it. COREboards never sees your HubSpot password: the connection uses HubSpot’s OAuth, and we receive a token your account can revoke at any time.
  5. You land back in COREboards with the tile showing your HubSpot domain and a Sync now button. Click it to pull your deals immediately.

After the first sync, COREboards refreshes the deal list on its own each day. Sync now is there for when you have just changed something in HubSpot and want to see it right away.

What COREboards reads

Two permissions, and nothing else:

We do not read contacts, companies, tickets, emails, or marketing data, and we request no write permission of any kind. Access tokens are held server-side and are never sent to the browser.

Where your deals show up

  • Resource Allocation → Capacity, in the panel titled “What if we win…”. Each open deal appears as a pursuit with a HubSpot badge. Toggle any mix of them and the charts show what winning that work would do to the firm’s capacity, including the first month it breaks.
  • Revenue Forecasting → the revenue what-if, where the same pursuits carry their fee against the firm’s forward revenue.

Deals rarely carry an hour budget, so COREboards estimates hours as the deal amount divided by the firm’s blended bill rate, and says so with a ~. A firm that knows the shape of the team can replace that estimate with a per-studio sketch. Deals with no close date get a window estimated from the amount, marked “dates est.” rather than presented as fact.

Leaving deals out

Not every open deal is work the firm is really chasing. Two controls, neither of which changes anything in HubSpot:

  • Dismiss a pursuitwith the × beside it. It leaves the list and the charts firm-wide. A “Show dismissed” line at the bottom of the panel brings it back with a Restore button.
  • Switch the whole HubSpot feed offby clicking its chip in the “Feeding this list” row. That is a personal view setting and affects no one else.

Disconnecting

In COREboards, open Settings → Connected Apps → HubSpot and click Disconnect. That removes the stored token and deletes the deals COREboards had synced, so the pursuits disappear from the staffing and revenue boards. You can also remove the app from HubSpot’s own Connected Apps settings, which revokes the token immediately.
