One record per person, with client, employee and vendor as roles, linked to what CORE holds. In beta. · 3 min read

What it is#

Directory opens from the rail as a docked side panel. CORE keeps a separate record for every role a person plays: a contact on a client, an employee, a vendor. When the same person is two of those, their phone and address drift apart. Directory keeps one record per person and treats the roles as flags on it, each linked to the CORE record behind it.

The book builds itself from CORE the first time it opens and reconciles on Refresh: client contacts, the person named on a client record that has no contacts of its own, active employees, and vendors. A match is made by the CORE link first, then by email, then by name plus company, never by name alone.

The four tabs#

The tabs are filters over the same book, so a person who is a client and a vendor appears under both and is still one record.

  • Clients groups people under their client firm. A firm with no contact yet shows as a row of its own, so it can still be opened and given one.
  • Employees is the active staff, from CORE's employee records.
  • Vendors splits the way CORE types them: Consultants (outside consultants), Contract staff (contract employees) and Vendors (true vendors).
  • Contacts is everyone, including people with no CORE record at all: the plan checker, the building official, the printer's rep.

Every row carries the person's roles on their own line under the name, and a flag when money is involved (an open balance, an unpaid bill). Search filters the tab you are on; recent people sit at the top.

The contact card#

Click a name and the card opens beside the panel, with the page dimmed behind it; clicking the same name again closes it. The card shows the person's facts, the projects they touch, and an In CORE section listing each linked record with whether CORE's phone and email match what the book holds or differ.

Push ours

When they differ, Push ours writes the book's phone and email into that CORE record, updating the rows CORE already has rather than adding new ones. A blank in the book pushes nothing, so Push ours never erases a value CORE holds. Nothing is written to CORE without the click.

Edit, merge, delete

  • Anyone can edit a card: name, company, title, phone, email, address, a note, and the role checkboxes.
  • Merge folds a duplicate into the record you keep: blanks fill from the other, roles and CORE links combine, notes join, and the duplicate disappears from the book.
  • Only a firm admin can delete a contact, and deleting here never touches CORE.

Adding a person#

+ New opens a short form in the panel: first and last name, company, title, phone, email, and checkboxes for client, employee and vendor (with the vendor kind when that box is ticked). The tab you are on pre-ticks its role. The new record lives in COREboards; it reaches CORE only when you link it and choose Push ours.

Who sees it#

Directory is on the rail for every signed-in role. Money flags follow the viewer's financial visibility: a role that cannot see financials sees the people without the balances.
